Effective date: September 17, 2026 This Privacy Notice explains how Covenant Servants House of Prayer Ltd. handles personal information collected through covenantservants.com, Wix forms and member features, programs, event registration, communications, donations or purchases, and connected service providers. Information we may collect Depending on the service, we may receive: • name and contact information; • age where age is relevant to a program or safety process; • membership or account information; • event-registration details; • messages, prayer or support requests, and other submissions; • transaction or donation records; • device, log, cookie, and analytics information; • media or testimonial permissions; • limited relationship-safety information submitted through Proof Pass or /proofpartner. Proof Pass / First Contact information The /proofpartner First Contact process is intended to collect only information reasonably needed to understand an expression of interest and decide whether there is a next step. Intended information may include name, age, who the person is interested in, how they know that person, practical contact information, and a social-profile handle or link when the person chooses to provide one. A social profile may provide context, but it is not treated as proof of age, identity, character, or safety. We do not intend to collect government-ID images, exact birth dates, home addresses, sexual history, medical information, school records, or other unnecessary sensitive information through the initial First Contact form. Age verification Where stronger age verification is genuinely needed for safety, Covenant Servants may use a limited verification step. We do not routinely keep copies of a minor’s government identification. When an authorized adult visually verifies identification, the record should be limited to minimum-necessary proof such as verification status, method, date, and verifier unless a different record is required for safety or law. How we use information We may use personal information to: • provide requested ministry services; • respond to communications; • administer programs and events; • manage member or participant access; • review relationship-safety submissions; • protect safety and security; • maintain appropriate ministry records; • process authorized transactions; • comply with applicable legal or reporting obligations; • improve ministry operations. Children under 13 Children under 13 should not submit personal information directly through general website forms. A parent or legal guardian may contact Covenant Servants on the child’s behalf. If we learn that a child under 13 submitted personal information through a general form, routine use should stop. We will preserve only what is reasonably required for safety or law and handle the remaining information according to our privacy and safeguarding process. Sharing and service providers Covenant Servants may use service providers for website hosting, forms, communications, payments, analytics, media, storage, streaming, and other ministry operations. Those providers may process information as needed to provide their services. We do not sell personal information to advertisers. Safeguarding and reporting We may disclose or preserve information when reasonably necessary to protect a person, respond to threats or abuse, comply with reporting duties, preserve evidence, or comply with law. We do not promise absolute confidentiality where safeguarding or legal duties require action. Retention We keep information only as long as reasonably needed for the purpose for which it was collected, ministry records, safety needs, dispute handling, or legal obligations. Rejected, abandoned, or inactive relationship-interest submissions should not be retained indefinitely without a documented reason. Access and security Access to sensitive ministry, youth, pastoral, and relationship-safety information should be limited to authorized people with a legitimate ministry need. We use reasonable administrative, technical, and physical safeguards appropriate to the information and systems we use. Your choices You may contact Covenant Servants to ask about correction, deletion, communication preferences, or privacy concerns. Some information may need to be retained for safety, legal, transaction, or recordkeeping reasons. Third-party links External websites, apps, social platforms, payment processors, and other third-party services have their own privacy practices. Their policies apply when you use those services. Media and testimonials Attendance at a Covenant Servants event is not automatic consent for unrestricted promotional use of a person’s image, voice, or story.
